Privacy Policy of PR House
The age is about to change even more dramatically in a turmoil. Amidst the changes, the importance of protecting personal information continues growing and protecting personal information of our customers appropriately starting with our corporate clients is the accountability of PR House, which is hereafter referred to as 'we' or 'our company', for the society as we operate various creative activities for PR, IR and CSR.
Our company formulates its privacy policy statements as follows and shapes the structure of its in-house privacy policy. We hereby declare that we make all of our employees recognise the importance of this privacy policy and promote the protection of personal information by enforcing them to adopt the protection policy.
- Clause 1. Acquisition and Utilisation of Personal Information
- Our company shall acquire personal information upon clarifying the purpose of its use under any circumstances. We shall utilise the personal information within the range justified by the purpose of its use. Further, the purpose of its use shall be clearly stated in our personal information management ledger (kojin-jouhou-kanri-daichou). In the care of the manager of the personal information management ledger, we shall run the maintenance of our in-house management system and exercise safety control measures.
- Clause 2. Maintenance and Protection of Personal Information
- In the course of strictly managing personal information, our company shall never provide the personal information of our client to a third party unless we have gained approval from our client. We shall also perform safety control measures against the leakage or partial/complete loss of personal information. Furthermore, we shall establish and exercise procedures to prevent potential problems from emerging. Should a problem occur, we shall promptly revise our procedures to prevent its recurrence.
- Clause 3. Respect for Laws and Ordinances
- Our company deeply respects the laws and ordinances applicable to our handling of the personal information that we store, the policy formulated by the sovereign of Japan and other standards.

- Our company shall quickly respond to the enquiries and complaints about the personal information that we store by installing systems and procedures for reception and handling under any circumstances.

Handling of Personal Information
- * Utilisation of personal information acquired directly from non-paper based transactions
- ― The information about the interviewee acquired from outsourced work for the planning and creation of print media based advertisements (images of persons or audio) shall be utilised within the range of the purposes of its use defined at the time of its reception.
- * Personal information related to our job applicants
- ― We shall utilise information related to recruitment and application acquired from recruitment websites solely for the purposes of managing job applicants and recruitment activities.
― Unless we have consent from applicants or are legally enforced, we shall not disclose the personal information that we have acquired to third parties.
― Concerning the personal information that we have acquired, we shall implement necessary and appropriate measures for the prevention and revision of their leakage or loss and for the safety management of other personal information.
― Upon the completion of our recruitment activities, we shall immediately discard or return the personal information that we have acquired.
Procedures for disclosing personal information
Concerning the personal information, the applicant can request the following 'termination of provision to third parties of the notification, disclosure and changing, adding or deleting of the contents of the purposes of use and the termination and removal of the purposes'. - 5. Procedure for dealing with requests for the disclosure of personal information and others
- ― Please obtain a specified application form after contacting the Head of Management below.
- ― Before sending off your completed specified application form, please read 'Handling of Personal Information' and write your name in the specified place if you agree.
- ― We charge 500 yen per request as a handling fee for the notification and disclosure of the purposes of use. However, we do not charge for adding, correcting or deleting requests and others. Also the charge is inclusive of the postage for the delivery from our company.

- - Documentation identifying the delegate, driver's license of the delegate or a copy of a passport with a photo attached or others that can identify the delegate (document with the name or address of the applicant printed).

Review of Our Handling
We review your application once we have received the form and verified the applicant or delegate. In the following cases we may not be able to proceed to the disclosure.
- - If the application can lead to endangering the life, body or finance of the person or a third party.
- - If the application deems to assist in or evoke illegal or inappropriate behaviour.
- - If there is a risk for the security of the nation or the trust with other countries or international institutions or loss incurring in dealings with other country or international institutions.
- - If there is a risk of compromising the prevention, suppression or investigation of crimes, other public safety or the order.
- - If there is a risk of compromising our company's proper execution of duties.
- - If the application does not abide by a law.
- - If we are required to collaborate with the execution of duties as mandated by a national institution or local government and the notification of the purposes of use to the requester or their disclosure deems to compromise the execution of the duties.
Contacting for Review Results
We will contact you concerning the results of our review in writing without delay. The letter will be sent to the address of the applicant or delegate whose name has been written in the application form.
- - If a permanent address is clearly displayed in a certificate of the applicant or delegate, the address can be omitted.
- - Our company will responsibly discard the certificate related to the applicant or delegate.
- - Before posting your specified application form, please read 'Handling of Personal Information' of our company and write your name on the form should you give consent.
